Create a Scheduled Event

Whether one-time or recurring, this article walks you through how to create a scheduled event on Mobilize as an Admin.

This guide makes an assumption that you are an Admin of a dashboard on Mobilize and that you have successfully logged in. If this is not the case, please review how to log into Mobilize.


Basic Event Creation in 5 Steps

Step 1: Click New Event

For all Admins, this will bring up a modal with the following choices:

  • Scheduled event

  • Anytime action

  • Petition

  • Pledge or Interest form

  • Group

Some Admins will also see:

  • Fundraising event

  • Fundraising campaign

Step 2: Click Scheduled event

A new page will load, and there will be some empty fields that need to be filled out.

Step 3: Fill in the details of your event

Required fields for every event:

  • Event name: Public Name displayed on the signup page and Events Feed

  • Event Type: Choose the event type that best fits your event. If you are using VAN, these will be mapped to your corresponding VAN event types and statuses.

  • Visibility: Public events will be visible on your organization’s public feed (mobilize.us/yourslug) whereas if the event is Private volunteers can only sign up for the event if they have the specific link (mobilize.us/event/yourslug/1234)

  • Event Description: This is the description of the event that will be visible from the event sign-up page. Use fun and interesting language to recruit more people for your event.

  • Schedule: Add time(s) to let people know when your event takes place. You can also configure recurring daily, weekly, and monthly recurring times here.

Step 4: QA!

Give your details a review. If you're not quite sure yet, just set Visibility to Private. Edit your event at any time.

Step 5: Click Publish event

Once published, you will be taken to the Event Details page, and given the opportunity to email your supporters about the new event.


Building an Event Schedule

Mobilize events can be scheduled for one date and time or they can be recurring. This portion of the article goes into more detail on how to configure timeslots.

How to Create One Timeslot

Best for events with a specific date and time.

Step 1. Click Add times +

Step 2. By default, Frequency should be set to Once.

Step 3. Add the date for your event in Start date. End date will be greyed out.

Step 4. Add the Start time and End time.

Step 5. Include Max capacity, if applicable.

Step 6. Click Add times + to add the shift to your event.


How to Create Daily Timeslots

Events can be scheduled to take place every day for a range of time.

Step 1. Click Add times +

Step 2. Set Frequency to Daily.

Step 3. Add the first day for your event in Start date. End date should be the last day of your event.

Step 4. Add the Start time and End time you want for each day's timeslots.

Step 5. Include Max capacity, if applicable.

Step 6. Click Add times + to add the shift to your event.


How to Create Weekly Timeslots

Set events to occur once a week by selecting a start date and an end date at least 7 days apart.

Step 1. Click Add times +

Step 2. Set Frequency to Weekly.

Step 3. Add the first day for your event in Start date. End date should be the last day of your event. Try to have at least one week between the two dates, for example, August 5th, 2020, and August 12th, 2020.

Step 4. Add the Start time and End time you want for each day's timeslots.

Step 5. Include Max capacity, if applicable.

Step 6. Click Add times + to add the shift to your event.


How to Create Monthly Timeslots

Set events to occur once a month by selecting a start date and an end date at least 7 days apart.

Step 1. Click Add times +

Step 2. Set Frequency to Monthly.

Step 3. Add the first day for your event in Start date. End date should be the last day of your event. Try to have at least one month between the two dates, for example, December 1, 2022, and January 1, 2023.

Step 4. Add the Start time and End time you want for each day's timeslots.

Step 5. Include Max capacity, if applicable.

Step 6. Click Add times + to add the shift to your event.
