A virtual event gives your supporters the flexibility to take action from anywhere, and can be particularly useful for engaging a broader spectrum of supporters (e.g. national for state/local races), supporters who lack access to reliable transportation and/or are homebound, or busy supporters who want to volunteer on their own schedule.

Choosing your virtual event type

Use flexible timing to set a longer shift time (e.g. 9:00 a.m. to 9:00 p.m.) and volunteers will be able to immediately make calls, or opt to choose any time between 9am to 9pm on a future date if they can't take action immediately.

Use fixed timing to provide specific, scheduled shift times when volunteers can take action.

Filling out your virtual event details

From there fill out the event details as you would for an in-person event, using the event type selector to choose from the available virtual event types, including Phone Bank, Text Bank, Community Event, and Training.

Use the URL field, located under the Contact information, to indicate where you would like volunteers to take action.

The URL field can be used to link to any external site or tool. Examples include virtual phone banking tools (VPB), Hustle or ThruText text banks, Voter Circle campaigns, links to Zoom webinars or meetings in other video conference tools, or links to a shared Google Doc with more detailed instructions.

This link will be provided in the reminder email and in calendar invites for volunteers who schedule their virtual shifts in advance.

Below the URL you can edit the language you want to be displayed on the button volunteers will use to take action. Examples include "Make calls now!" or "Start texting!"

Finally, the shift selector will allow you to set the duration of your event as well as set specific days and times of week when you want the virtual action to be available.

On the event signup page, if a volunteer visits a flexible event during an active shift, they will have the ability to either “Act Now” and be directed immediately to your specified URL, or they can “Pick a Time” to be reminded to take the action later. If the volunteer visits the event page outside of the hours defined for the shift, they will only be able to 'Pick a Time' to take action later.

Automatic Confirmations for Virtual Events

Reminders:

  • If volunteers chose to act later for a flexible timing virtual event, they will get an email and SMS 1 hour before the time they chose with the link to the virtual action.
  • If you edit the event and change the link to the virtual action, the volunteer will receive the most updated link in the reminder.
  • Volunteers who schedule their virtual shifts in advance will be asked to confirm their shift in an email the day before.

How will virtual events sync to VAN?

Virtual events and signups are synced to VAN just like in-person events. However, please note that your VAN event types must be configured to not require a location in order to sync virtual events.

For virtual flexible or "act now" events which span multiple days, a VAN event will be created for each day of the virtual action:

Signups will be added as participants for the VAN event corresponding to the day they took action. You can view the exact time a volunteer chose to 'Act Now' as the override start time on their shift record.
